 Contacting Volunteers Based on Availability

With summer around the corner many museums are getting ready for summer projects and community events. PastPerfect’s Contact Lists allow you to easily notify volunteers of upcoming events that fit their availability.

Let’s take the example of a “Saturday Movie Series” that will need volunteers every Saturday in July. To notify your volunteers of this opportunity you can create a Contact List of active volunteers with Saturday availability. You can easily send a letter to this contact list with information about the upcoming event.

Begin at the Main Menu of PastPerfect and click on “Contact Lists.” Click the “Create a New List” button, type the list name and assign it to a folder and then click “OK”. Select your new list and click “Add Records to Selected List” from the left sidebar.

In this example we have two criteria for our list: contacts must have an active volunteer status and must be available on Saturday. For the first filter statement select “Volunteer Status” for field, select “Begins with” for condition, and type “Active” for value. Click “Add to Statement.” For the second filter statement select “Volunteer Available Saturday” for the field and select “True” for condition. Make sure that “and” is selected as your connector and then click “Add to Statement.” Your Filter Statement box should look like the one below.

After you run the query click “Add Selected Contact Records to List.” You now have a list of all active volunteers with availability on Saturday. You can easily send a Mail Merge letter about your “Saturday Movie Series” event to the contacts on this list. This day in history May 6th 1861 - Jefferson Davis approves a bill declaring war between United States and the Confederacy.

"In 1853, Davis was appointed secretary of war by President Franklin Pierce. He served in that position until 1857, when he returned to the Senate. Although opposed to secession, while back in the Senate he continued to defend the rights of southern slave states. Davis remained in the Senate until January 1861, resigning when Mississippi left the Union.

In conjunction with the formation of the Confederacy, Davis was named president of the Confederate States of America on February 18, 1861. On May 10, 1865, he was captured by Union forces near Irwinville, Georgia, and charged with treason. Davis was imprisoned at Fort Monroe in Virginia from May 22, 1865, to May 13, 1867, before being released on bail paid partly by abolitionist Horace Greely."
