Rick Bernstein asked me to chime in.
The WHS Archives practice is similar to what has already been described. W
e use an honor system and approve camera copying on the agreement that the
copies are for research only and that the researcher agrees to pay a fee eq
uivalent to what we get for photocopies: currently 6 cents a shot. We do n
ot allow personal scanners because it is unpredictable how well they will t
reat bound materials. We do not ask for digital files because there is no
good way to actually use them or keep track of them, and the quality is unp
redictable. Hope this helps your discussion.

Andy - Would you like to chime in on this issue? It might be good for folks
to know our policy on matters of this type. Rick

1. You should insist on getting a digital copy of all the documents they s
can or photograph for museum use
2. You might require them signing a statement that says they may not use t
he copied information for profit without permission and attribution to the
owner of the source and deal with charging at that time.
3. You might suggest a flat fee for copying rights -- i.e.so<http://i.e.so
> much per page or book. I have had that happen at a few places--the Olmste
d MN Co Historical Society charges the same as if I made a copy on their co
py machine.
Most places I go I take a digital photo of the items I want and have not be
en charged. I give a donation based on the value I think I received, at le
ast $5
When I want to copy records from the Polk County Govt offices (not history/
museum) I have to pay $1 per page and it must be on their copying machine.
This irritates me as I would prefer just a snapshot of a few lines on a l
and record or other part of a page.

How do others handle a situation like this:
We have researchers who bring their own laptops and flatbed scanners along
when doing research at our museum.
If they find documents in our files relating to their research, they scan t

are not charging anything as this practice is relatively new. How do other
museums accommodate this situation?
Do you charge per page? Or do you charge a flat fee?
Thanks for your help.
