Subject: RE: Membership Cards?

The Ephraim Historical Foundation does a lot of things similar to others who have responded. I enter the renewals into PastPerfect and officially track things on my end, and our Membership Chair (who has been doing this for 25 years) keeps a separate set of records on her end. Each month we compare our records to see if we match. It’s a great way of catchi ng any mistakes.

She sends the acknowledgements for Membership Dues and sends Membership Cards with it. Since this is something our members have received for decades and we have a volunteer who is willing to send them, it’s s omething we will continue to do, but if you are not currently doing Membership Cards I do no not know if it is necessary to start. This past season we also transitioned to free admission, so that was no longer a member benefit. For the benefits members do receive, we either would recognize them when they came in, or would take their word that they are members if they claimed to be. We also have a member directory that our docents can reference if they do need to verify someone is a member. In my three years here I have never once asked to see someone’s Membership Card, so i t is more or less a nice token for the member to have than something we need to verify they are a member.

Regarding our benefits, I am happy to share with everyone what our members receive if you need ideas. If you have any questions or ever would like someone to bounce ideas off of, please feel free to email me.

Finally, I am constantly working to clean up our records in PastPerfect and organize our membership and donor data. I would be happy to speak with you if you have any questions or would like any suggestions.

Butternut Area Historical Society has handed out Membership cards BUT to no recognizable benefit to the organization.

We now promote membership with a mailing list and will be using member names and addresses in direct mailings.

We have members who will donate when they are needed but the membership cards disappeared shortly after they were issued.

Hi Laurie,

I like the idea of publishing the names of the names of members in a newsletter in lieu of cards. That is a good idea.

Price County Historical Society does not send membership cards. We do publish our membership list once a year by category i.e. Life, individual, etc. in our fall newsletter. We place an asterisk by the names of new members, with an explanation that this denotes new members. We have found that our members like this list and knowing who all is a member of the Society. Also, when a new membership is received our goal for 2019 is to consistently send a thank you letter and include our most recent newsletter as a way of thanks and introduction to the new member. We have discussed membership cards from time to time, but decided to go with the published list as our members like it and our volunteers are already wearing so many hats. We do include membership enrollment forms with all of our newsletters and mail notices at the beginning of the year to those that haven’t
renewed yet, with usually a follow-up in several months for those that still haven’t renewed. Interestingly we started enclosing a #9 sized self-addressed envelope with our mailed membership renewal form and found out that we receive the memberships back much faster, as the member only needs to fill out the form, place it in the the self addressed envelope and put a stamp on it.

We do not offer discounts in our gift shop and we do not charge for admission to our museums, but do have donation boxes at the front doors. We find that most people are fairly generous in their donations.

Hello,

At the Mondovi Area Historical Society, we are currently in the process of sending out membership renewal letters to our members and others in the community who have expressed interest in our Society and in general cleaning up our membership rolls. We are having a debate among our officers whether or not membership cards are necessary. I am inquiring what other societies are doing regarding such cards, do you send them out or if not how do you acknowledge membership renewals or new memberships?

Thanks.
